Export GL Transactions to Excel

You can export sections of the GL transaction table to a csv file, which can then be imported into Excel if needed.

This is done in 2 parts:

  • Export the GL transactions to a ‘csv’ (comma separated value) file

  • Import that file into Excel

 

The resulting file will be very large, Excel has a limit on the number of rows that can be imported, you may well exceed that and the import will fail. If that’s the case, break down the file into, say, 1 month chunks.


Export Transactions as a ‘csv’ file

Transaction Reports are available via the Reports Module.

  • Main Menu

    • Reports

  • Transactions / Transactions

    • General Ledger Trans → Y

    • Select the correct Period range, the remaining defaults are fine.

    • Print (this could take some time if you have a large number of records)

The Report will be created, but this isn’t what we want, we need to export this data.

  • Select Export

 

  • Export

  • Select a Save File location & filename (use dot.csv)

 

 

  • File will now be exported as a ‘csv’ file.

  • Exit


Import into Excel

 

  • Open Excel first, don’t try and open the file directly, Excel has a bug & will screw up if you try this.

    • Most servers do not have Excel loaded, you may need to copy your ‘csv’ file onto a local desktop.

  • Open a ‘Blank’ workbook

 

  • Main Menu

    • Data

      • From Text / CSV

Select your file for Import.

Click on ‘Load’

 

Your file has now been Imported.


Save as an XLSX

At this stage the file is still a ‘csv’, you need to save it into an Excel format.

  • Change the name as appropriate.

  • Procedure complete
